Setting up

Six steps, in the order they depend on each other. An afternoon for a small company, and you can stop after any of them — nothing later is required for anything earlier to work.

  1. 1Say who the company is

    It is what prints at the top of a payslip, a letter and an export, so it is worth doing before any of those exist.

    • The legal name, the trading name and the address.
    • Your registration and tax numbers, where your country asks for them.
    • A logo, which goes on payslips and letters.
    • The shape of your employee numbers, which is fixed once the first one is issued.

  2. 2Add your offices

    An office carries a timezone, a working week and its own public holidays. Leave, attendance and payroll all read them, so getting this right first saves correcting the rest.

    • One office per place people actually work from.
    • Its timezone and working days — a Sunday-to-Thursday week is a setting, not a special case.
    • Public holidays, which you can add per office.

  3. 3Add departments and who runs them

    A department is what scopes a manager: somebody who administers one sees their people and nobody else’s.

  4. 4Bring your people in

    Everything else counts people, so nothing looks right until they are here.

    • Add somebody in six fields, or the whole record if you have it.
    • Or import a spreadsheet — checked before anything is written, with the rejects handed back.
    • Invite them when you are ready. Nothing waits on an invitation.

  5. 5Write your leave rules

    A balance is computed from a policy, so the policy has to exist before anybody asks for a day.

    • Leave types, and which are paid.
    • A policy: the entitlement, how it accrues, and what carries over.
    • Who decides — a manager, then HR, or one step.

  6. 6Run the first payroll

    The first run is the one that finds what is missing: a salary nobody set, a bank account nobody filled in.

    • Set what each person is paid, from their record.
    • Open a run for the month and read what it warns you about.
    • Publish it. Payslips appear for the people they belong to, and nobody else.
